Project Manager, Part-Time
Position Overview
The Project Manager will be responsible for ensuring operational excellence, organization, and efficiency across all project tracking, client communication, and documentation processes. The ideal candidate has a strong attention to detail, proactive problem-solving skills, and a commitment to quality and accuracy. The Project Manager will report to and support the Director of Projects.
Why This Role Matters
The Project Manager plays a direct role in keeping high-value projects on track, preventing workflow disruptions, and ensuring communication clarity. This position is critical in supporting the Director of Projects by removing inefficiencies, upholding quality standards, and maintaining structured coordination across all moving parts.
Key Responsibilities
Project Tracking & Organization
- Maintain and update the tracking system for active projects, ensuring accuracy, consistency, and usability.
- Monitor and document client feedback, categorizing items for future action, follow-up, and reporting.
- Provide concise, well-structured project status updates to the Director for execution, ensuring that all information is relevant, complete, and immediately actionable.
Communication & Coordination
- Work proactively with the Director of Projects to ensure smooth communication between clients, team members, and leadership.
- Manage communication and scheduling, including but not limited to:
- Scheduling meetings and coordinating availability.
- Confirming receipt of key documents with precision.
- Communicating only essential updates.
- Coordinate and follow up on action items from meetings to ensure deadlines and commitments are met.
Document & Data Integrity
- Track all files and documentation from active and incoming projects in a timely and systematic manner.
- Ensure that all contracts and invoices are stored and categorized, adhering to organizational standards.
- Verify that all schedule documents contain accurate, current, and complete input data before submission.
Team & Workflow Coordination
- Maintain order and structure in team communication channels by:
- Managing pins, bookmarks, and the organization of Slack channels.
- Ensuring that vital project information is easily accessible and correctly categorized.
- Accurately inputting job details in QuickBooks and the internal server.
Requirements & Expectations
- This is a part-time position, approximately 20 hours per week, with the potential to evolve into a full-time role based on performance and business needs.
